Quote to paid, without switching tools
Most billing setups are stitched together: a quote in one app, an invoice in another, a payment processor on the side, and a spreadsheet to reconcile the three. PayPolka collapses that into a single flow. You build an estimate, the client accepts it online with a signature, you turn it into an invoice, and the client pays a link. Every step shares the same clients, line-item presets, and numbering, so nothing has to be re-entered or reconciled.
Explore the workflow
Each part of the estimate-to-payment flow has its own page:
- Online estimate acceptance — public links, typed-signature sign-off, your terms acknowledged.
- Deposit and progress invoicing — bill a deposit, invoice progress, and settle the final balance, all tracked against the estimate.
- Invoice payment links — card, ACH, and Cash App Pay through your own Stripe account, plus cash and check.
- Recurring invoicing — retainers and maintenance plans, billed as drafts you review and send.

The whole job in one place
One workflow, quote to paid
Estimate, online acceptance, invoice, payment — the whole job lives in one tool. No copying numbers from a quoting app into a separate invoicing app and hoping they match.
Estimates that become invoices
Turn an accepted estimate into an invoice in a click. A full invoice copies the line items; a deposit, progress, or final invoice bills a summary line allocated from the estimate's subtotal.
Payment built in
Every invoice carries a payment link for card, ACH, or Cash App Pay through your own Stripe account, plus cash and check you record yourself. No markup on processing fees.
Deliberately just billing
Not an accounting platform, not an ops suite. One flat price, up to three users, unlimited estimates, invoices, and clients — the billing layer, done well.
An invoice generated from an accepted estimate, paid by card through Stripe.
Questions, answered.
What's the difference between an estimate and an invoice?
An estimate is the price you propose before the work; an invoice is the bill for work done or a defined deliverable. In PayPolka the estimate comes first — the client accepts it online — and the invoice is generated from it, so you're never re-keying the same line items twice.
Can an estimate turn into an invoice automatically?
You turn an accepted estimate into an invoice with a click — full, or deposit/progress/final. It isn't automatic in the sense of sending itself: you choose what to bill and when, and review the invoice before it goes out.
Do I need separate estimating and invoicing tools?
No — that's the whole point. PayPolka does both, plus online acceptance and payment collection, so a job goes from quote to paid in one place. Estimates and invoices share the same clients, presets, and numbering.
Is this accounting software?
No. PayPolka covers estimates, invoices, payments, receivables, and a sales-tax summary — not full bookkeeping, payroll, or an expense ledger. If you keep books in QuickBooks or Xero, keep them; PayPolka handles getting the work billed and paid.
How much is it, and does the price go up?
$5/month during beta, $9/month standard after. Sign up during beta and you keep $5/month for as long as you stay subscribed — it never rises to $9, which only applies to accounts created after beta. US-only, billed in USD, up to three users, 14-day refund for new accounts.
