Policies, terms, and general service information.

We try to keep these as clear, fair, and readable as possible. If something here doesn't make sense or seems off, email us at hello@paypolka.com and we'll fix it.

Terms of Service

Effective May 6, 2026.

Thanks for using PayPolka. These Terms cover your use of PayPolka (the "Service"), operated by Seveninblue LLC, a Utah limited liability company ("we," "us," "our"). By creating an account or using the Service, you agree to these Terms. If you don't agree, don't use the Service.

1. Your account

You need to be at least 18 years old and able to form a binding contract to use PayPolka. You're responsible for everything that happens on your account, including the actions of any team members you invite. Keep your password secure and let us know right away if you suspect unauthorized access.

Each person using the Service must be a real human with a unique email address. Sharing a single login between multiple people is not permitted.

2. Acceptable use

You agree not to use PayPolka to: send spam, send invoices for illegal goods or services, harass anyone, impersonate someone else, attempt to break or probe the Service, or do anything that violates any applicable law. We get to decide what counts as a violation, and we reserve the right to suspend or terminate accounts that cross the line.

3. Payment and billing

PayPolka is a paid subscription service. By subscribing, you authorize us to charge your payment method on a recurring basis at the price displayed when you signed up, until you cancel. Pricing is currently $5/month during our beta period; the standard rate after beta is $9/month. We'll give you reasonable notice before any price change affects your subscription.

Payments are processed by Stripe. We don't store your full credit card number on our servers.

4. Your content

You own the data you put into PayPolka — your invoices, clients, time entries, projects, and everything else. We don't claim any ownership of it. You give us permission to host, copy, transmit, and display your content only to the extent necessary to operate the Service for you.

We won't sell your data, mine it for advertising, or train AI models on it.

5. Cancellation and termination

You can cancel anytime from your account settings. See our Cancellation Policy for details.

We may suspend or terminate your account if you violate these Terms, fail to pay, or in rare cases for security or legal reasons. We'll do our best to give you notice and a chance to export your data when we can.

6. Service changes

We're an actively developed product. Features may be added, changed, or removed. We'll communicate significant changes that affect your use of the Service, but small changes happen continuously without notice.

7. Warranties and liability

PayPolka is provided "as is." We do our best to keep the Service running reliably and to keep your data safe, but we can't guarantee it will always be available, error-free, or perfectly secure.

To the fullest extent permitted by law, our total liability for any claim related to the Service is limited to the amount you paid us in the twelve months before the claim arose. We are not liable for indirect, incidental, or consequential damages, including lost profits or lost data.

8. Indemnification

You agree to indemnify and hold us harmless from any claims arising from your use of the Service, your content, or your violation of these Terms.

9. Governing law

These Terms are governed by the laws of the State of Utah, USA, without regard to conflict of law principles. Any dispute arising out of or relating to these Terms or the Service will be resolved exclusively in the state or federal courts located in Utah, and you consent to personal jurisdiction there.

10. Changes to these Terms

We may update these Terms occasionally. When we do, we'll change the "Last updated" date and, for material changes, notify you by email or in the app. Continued use after changes means you accept the new Terms.

Privacy Policy

Effective May 6, 2026.

Your privacy matters. This policy explains what we collect, why, how we use it, and the choices you have. PayPolka is operated by Seveninblue LLC (Utah, USA), which is the data controller for the information described below. If you have questions, email privacy@paypolka.com.

What we collect

We collect three categories of information:

  • Account info — your name, email, business name, and password (stored hashed).
  • Content you create — invoices, clients, projects, time entries, expenses, and any other data you put into PayPolka.
  • Usage data — basic logs (IP address, browser, pages visited, timestamps) so we can keep the Service running, debug issues, and understand how people use the product. We do not use third-party advertising cookies or trackers.

Payment card details are collected and stored by Stripe, our payment processor — not by us.

Why we collect it

  • To provide the Service to you and your invited team.
  • To send transactional emails: receipts, account notifications, password resets, and invoices to your clients on your behalf.
  • To send occasional product updates. You can unsubscribe from these at any time.
  • To diagnose problems and improve reliability.
  • To comply with legal obligations.

Who we share it with

We share data only with vendors that help us run the Service, and only the minimum each one needs to do its job:

  • Stripe — payment processing.
  • Email delivery provider — for transactional and product emails.
  • Hosting and infrastructure — Cloudflare and our application hosting provider.
  • Error and performance monitoring — limited diagnostic data when something goes wrong.

We do not sell your personal information. We do not share it with advertisers. We don't use your content to train AI models — ours or anyone else's.

We may disclose information if legally required (subpoena, court order) or to protect against fraud or harm. When we can, we'll notify the affected user first.

Cookies

We use a small number of first-party cookies — to keep you signed in, remember your preferences, and protect against abuse. We don't use third-party advertising or analytics trackers.

Security

All connections to PayPolka are encrypted in transit with TLS. Your data is encrypted at rest. Passwords are hashed with industry standard algorithms. We restrict employee access to customer data to what's necessary for support and operations.

Data retention

We retain your account data for as long as your account is active. When you cancel, we keep your data for 30 days so you can change your mind, then delete it. You can request immediate deletion at any time.

Backups may persist for up to 90 days after deletion before being overwritten. Some records (like billing history) may be retained longer when required for tax or legal compliance.

Your rights

Regardless of where you live, you can: access your data, export it, correct inaccuracies, and request deletion. Email privacy@paypolka.com and we'll respond within a reasonable timeframe.

If you're in California, the EU/UK, or another region with additional privacy rights (GDPR, CCPA, etc.), you have the same rights described above plus any additional ones granted by local law.

Children

PayPolka is not intended for anyone under 18, and we don't knowingly collect data from minors.

Changes

If we update this policy, we'll change the date at the top and, for material changes, notify you by email.


Cancellation Policy

Effective May 6, 2026.

You can cancel your PayPolka subscription anytime, for any reason, with no penalty and no phone call required.

How to cancel

Sign in, go to Settings → Billing, and click Cancel subscription. Cancellation takes effect at the end of your current billing period, so you keep access until then.

If you can't access your account for any reason, email hello@paypolka.com from the address on your account and we'll cancel it for you.

What happens to your data

For 30 days after cancellation, your data is retained and you can reactivate by signing back in. After 30 days, your account and its data are permanently deleted from our systems, with backups overwritten within 90 days.

We recommend exporting your invoice history, accounting reports, and any other data you want to keep before the 30-day window closes. You can do this from Settings → Export at any time.

No long-term contracts

PayPolka is month to month. There are no annual commitments, cancellation fees, or "are you sure?" hoops to jump through. If it's not working for you, leave — and come back if and when it makes sense again.


Refund Policy

Effective May 6, 2026.

Because PayPolka is a low-cost month-to-month subscription, the simplest way to stop being charged is to cancel — see the Cancellation Policy. Once cancelled, you won't be billed again.

When we offer refunds

We offer a refund of your most recent monthly payment if you request one within 14 days of the charge and:

  • You were charged by mistake (forgot to cancel, accidental re-subscription, duplicate charge).
  • The Service has been broken in a way that prevented you from using it for a meaningful portion of the billing period.
  • You're new to PayPolka and decided within the first two weeks that it isn't the right fit.

How to request a refund

Email hello@paypolka.com from the address on your account. Tell us briefly what happened. We'll respond within two business days, and approved refunds are processed back to your original payment method within 5–10 business days.

What we don't refund

We don't typically offer refunds for billing periods more than 14 days in the past, or for accounts terminated due to violations of our Terms of Service. That said, if you have an unusual situation, just email us — we try to be reasonable.

Stripe processing fees

Payments your clients make to you through Stripe are not covered by this policy — those are between you, your client, and Stripe. Stripe's payment processing fees on those transactions are not refunded by PayPolka.
