Small team, shared billing

A studio doesn't need an enterprise billing system, but it does need more than one person able to send an invoice. PayPolka gives you up to three logins on one account, so the work doesn't stall when the owner is on a call. Presets keep everyone consistent — the same retainer tiers and deliverable line items, drop-in ready — so an estimate from your account lead looks like one from you.

At month- or quarter-end, the Accounting view shows invoiced, collected, and outstanding by month, quarter, and client, plus sales tax invoiced and collected. Send a client a statement and they see exactly where they stand. It's most of what your bookkeeper asks for — though PayPolka isn't a full accounting suite, so keep your ledger wherever it already lives.

How many users can we have?

Up to three users on one account, each with their own login (admin or operator role). All three are included in the flat price — there's no per-seat charge.

Can the team reuse line items so estimates look consistent?

Yes. Save labor rates and catalog items at the account level — retainer tiers, common deliverables, materials, fees — and anyone on the team can drop them into an estimate or invoice. Inserting a preset snapshots its values, so later edits don't change documents you've already sent.

Can we bill retainer clients automatically?

On a schedule, yes — but a person stays in the loop. A recurring schedule generates a draft invoice each cycle for someone to review and send. PayPolka never auto-sends or auto-charges a recurring invoice.

Can we send statements to clients?

Yes. Each client can get a statement showing opening balance, invoices issued, payments received, and closing balance, emailed to the primary contact. Clients also get a portal to view their invoices and balances any time.

Do we use our own Stripe account?

Yes. Card, ACH, and Cash App Pay run through your own Stripe account at Stripe's standard rates with no markup from PayPolka, plus cash and check you record yourself. You can optionally pass processing fees to the client.

Will the $5 price go up after beta?

No. Sign up during beta and the account keeps $5/month for as long as it stays subscribed — it never rises to the $9 standard rate, which only applies to accounts created after beta. US-only, billed in USD.
